DIRS Reporting/Errors


Now would be a great time to review your DIRS reporting incidents and clean up any outstanding errors. As a note multiple incidents should not be created for the same event. When entering an incident that includes multiple students, please use these fields to keep information private.



Use the Minnesota Reports, which can be found in your Tree under Synergy SIS > MN > Minnesota Reports, or by typing ‘Minnesota Reports’ into your Quick Launch bar.

Once in MN > Minnesota Reports, select the report you would like to run (STU814.MN: DIRS) from the dropdown. Then select your District from the Reporting District drop down. You do not need to adjust your Date Range. If you would like to run this report for a specific school instead of your district, click on the Filters line, followed by the Chooser button on the Organizations grid, and select your specific school there.



In the Configuration tab, only check the box to Exclude Warnings From Error Report. Click Create Report.



The pop up window will have 7 files, the DIRS Error Report should be reviewed first to see which incidents need to be reviewed to ensure that they are reporting correctly. The DIRS Submission is a clear view of what incidents are being reported.



On the History tab you can always download, reference, or review any of the files that have been generated for this report. Clicking on Show Detail will show you all files, as the Batch Extract is the only file showing on the line without clicking this button.





Errors FAQ:
Violation: Name of Violation - Sub Level is missing – In the Incident Violation all of the sub categories have not been selected. Violations that have sub categories are Technology, Alcohol, Arson, Assault, Bullying/Harassment, Controlled Substance, Illegal Drugs, Pyrotechnics, Weapon.



Violation: Other - Missing incident type other description – Please only use Other when the incident does not fit any other state reportable violation. When this violation is chosen you need to add verbiage as to why this does not fit any other violation.



Action: In-school suspension - Action requires a minimum value of 0.5 school day(s)/ Action: Out-of-school Suspension - Action requires a minimum value of 1 school day(s) – Expand on the student in the incident and in the Dispositions be sure that if the incident needs to be reported the Days column has at least .50 for ISS and 1.00 for OSS.



 
Action: Out-of-school Suspension - AES Type is required if school days is more than 5 – If a students OSS is 5 days or more the AES Type drop down needs to be populated.
