EOY FY26 Reporting
Submission:
Thursday, August 6th: Optional, statewide edit, new statewide reports will be posted.
A statewide edit will be run between required MARSS submissions. Data that is on file at that time will be included in the updated statewide reports.
Submission:

Thursday, August 27th: Files due to MDE
Used for September 30 FY 2026 entitlements, Special Education tuition billing.
FALL FY26 Reporting
Thursday, August 13th: MARSS WES Opens for Fall 2026-27

Thursday, September 10th: First MANDATORY submission due to RMIC
Thursday, September 17th: First MANDATORY submission due to MDE
** If you have Region 1 upload your files, please submit them by the due to RMIC date. This will ensure there is time to run an edit, send and receive a release, and upload to MDE. Unfortunately if you wait until the MDE deadline we are unable to guarantee your files will be uploaded in time.

Ed-Fi Reminders
During the summer, districts can choose when they switch the Synergy School Year for the next year. This is a reminder that the change does impact Ed-Fi syncing. Please reach out to us to let us know you have changed years and would like your Ed-Fi settings changed. synergy@region1.k12.mn.us
Ed-Fi setup emails went out to districts July 13th with what needs to be completed to setup 26/27 Ed-Fi. MDE would like all districts syncing data by September 10th. If you have not done so already, please complete your setup requirements provided in the email, and let Region 1 know you are ready to connect. Districts will be worked on in the order we receive the form submissions.
Immunization Dates
Remind your School Nurses that Synergy can import dates from MIIC using the AISR Bulk Query functionality. Documentation can be found on the Help screen under Resources > Health > MIIC/AISR Import. Annual Immunization Status Reporting is due December 1st each year.
Open Office Hours in August
We started Synergy State Reporting office hours in July! As we build out our support for Synergy state reporting here at Region 1, we are trying some new things that we hope will help support you in your role. Amanda will be hosting the office hour sessions every other week, so please hop on with questions, and welcome her to the team!
These office hours will not be structured to start off. As we get a feel for what works, we plan to roll out scheduled topics in the future. Thank you to those who joined us in July! It has been fun to connect with users.

Check This Out: Student Program Reports
In an effort to try to improve your Ed-Fi experience, check out the Student Program reports in Synergy! These reports can help you identify who has program records. Here are some good ones to check out:
- PGM201: Student Program Profile – See all program records for a student, including historical and exited programs.
- PGM401: Need List – Pull a list of students by Student Need. Check ‘Include Concurrent Enrollments’ to include students who are concurrently enrolled.
- PGM402: Free and Reduced Meals List – Find your students with FRM records. Check ‘Concurrent’ to include students who are concurrently enrolled. You can also filter by a specific FRM code if you would like.
- PGM403: English Language Learner List – Pull a list of your ELL students. Check ‘Obey Focus Filtering” to only see records for your focus school year. Check ‘Include Concurrent Enrollments’ to include students who are concurrently enrolled.
- PGM408: Student Programs List – See all programs a student has without an exit date, or with an exit date after the As of Date (blank equals the current date). Check ‘Concurrent’ to include students who are concurrently enrolled. The PGM409 displays this information, and historical records as well.
- PGM410: Homeless Needs List – Find your homeless students. Select to pull from Homeless Information screen or select the Homeless need to pull from Student Needs. Check ‘Include Concurrent Enrollments’ to include students who are concurrently enrolled.
Ed-Fi Myths Debunked
Myth: Synergy has an automatic job running to sync data, so I don’t need to worry about syncing.
FALSE: Synergy does have a scheduled job that syncs data. This Ed-Fi Transactions job is scheduled to run at regular intervals, but it is only syncing changes. Certain changes to students are tracked in your MN Ed-Fi Transaction Queue. These changes include enrollment changes, attendance changes, and program changes. The scheduled job syncs up to 1000 changes to students every time it runs. This does not sync the entire student, just the change made. If a student has not been synced successfully prior, the transaction will fail, as it needs existing data to change.
When Mass Processes or single student syncs are run, any transactions for the synced data will be marked complete at that time. This means if you are working on a student, a single student sync will send all current data. You do not need to wait for the next transaction job to run.
The Ed-Fi Transactions job does not collect changes for every adjustment in Synergy. Most MCCC data is not collected. MCCC changes require a Mass Process to be run to send the data via Ed-Fi. Calendar changes are also not collected. If you make changes to your School Calendar, a snow day for example, you need to run Mass Process 8 – Calendar to update the calendar information in the ODS (at MDE).
Feel free to take a look at the MN Ed-Fi Transactions Queue screen during the school year. There is nothing you need to do on this screen, so do not feel obligated to visit it; it is a resource for you to use if you would like to. As always, if you have any questions, please let us know!
